01 What we store
We keep the smallest set of information we need to book your tee times and run your account:
- Contact and account information
- Your name, email, and phone number (for booking confirmations and account messages), your LockedTee login, and your chosen plan.
- Booking details
- Your course, the exact booking URL you use, your booking-window rule, your group size, and your preferred day and time window.
- Booking-site credentials
- The login (and, where you provide it, the two-factor detail) for your course's booking account. These are encrypted at rest and handled as described below.
- Booking history
- A record of the requests you made and their outcomes (locked in, skipped, canceled, or not secured), so you and we can see what happened.
- Basic technical logs
- Standard security and diagnostic logs needed to run the Service reliably. We do not log your credential values in plaintext.
02 Your booking credentials
Your course login is the most sensitive thing you give us, and we treat it that way. We encrypt your credentials at rest with strong, per-record encryption. They are decrypted only in memory, only at booking time, so the assistant can sign in as you, and are never written back out in plaintext. Every access is recorded in an audit log. We do not display your stored password back to you, and we do not share it.
You provide these credentials so that we can act as your booking assistant, and for no other purpose. You can ask us to delete them at any time.
03 How we use your information
- To book the tee times you ask us to book, on your own account.
- To send you booking confirmations, skip and cancel notices, and account messages.
- To operate, secure, support, and improve the Service.
- To process your membership and any per-booking fees through our payment processor.
- To meet legal and tax obligations.
04 We act only on your instruction
LockedTee uses your credentials and details for one thing: to carry out the bookings you have asked for. We act only on your instruction. We do not use your course account to browse, buy, or do anything beyond the booking you requested, and we do not book for anyone other than you.
06 Retention and deletion
We keep your information for as long as your account is active and as needed to provide the Service, plus what we are required to keep for legal, tax, and security reasons. You can ask us to delete your stored credentials at any time, and to delete your account and associated personal data. When you request deletion, we remove your credentials and personal data except for the limited records we must retain by law (for example, billing records). After we delete your credentials, we cannot book for you until you provide them again.
07 Security
We protect your information with encryption at rest for sensitive credentials, in-memory-only decryption at booking time, access auditing, and access limited to what is needed to run the Service. No system is perfectly secure, but security is the first thing we design for. If you believe your account has been compromised, contact us right away.
08 Your choices and rights
- Access or correct the information in your account at any time.
- Pause or cancel standing requests, which stops us acting on them.
- Ask us to delete your credentials, your data, or your account.
- Opt out of non-essential messages. Booking confirmations and account notices are part of the Service you signed up for.
Depending on where you live, you may have additional rights over your personal information. Contact us and we will honor the rights that apply to you.
